For Peak Active Sport Ltd (PAS)
1. PAS ‘KidsClub’ Membership Scheme
PAS ‘KidsClub’ membership scheme is only available to children and therefore children must be signed up by their parents/guardians. Membership is for a 12 month period and starts from when you receive your pack. Processing your application usually takes 2 weeks, however if you specify a date from which you would like your membership to start, this is also acceptable.
The 10% discount can be used at any time during the 12 months membership, however please note that only one discount applies and therefore discounts cannot be used in conjunction with another discount.
2. Bookings
Bookings are accepted on a first come, first served basis and must be accompanied by full payment of the club/camp fee. Any bookings received without payment will not be guaranteed until payment is received in full. We are unable to reserve places or accept telephone/email bookings.
We require all places on PAS clubs/camps to be booked prior to the club/camp commencing, to ensure correct staff-to-children ratios are met. Registration on the day may be accepted depending on the availability, but we cannot guarantee a place so please have alternative arrangements ready.
Should it be necessary for PAS to cancel a club/camp, you will be offered a full refund, credit note or a place on the same or similar course/camp at a later date.
(Adventure Camps) Due to unforeseen circumstances PAS have the right to change activities, e.g. adverse weather conditions etc. In the event that an activity needs to be changed, we will do our very best to ensure the alternative activity is similar to the booked activity. (Please note changes are considered due to our safeguarding children policy).
2 (a). Early drop off (Holiday Camps)
PAS offer an early drop off option at all of our Holiday Camps. However, early drop off must be booked in advance either online or by booking form. Booking an early drop off online can be booked any time. If you choose to book an early drop off by booking form, parents/guardians needs to ensure that the PAS office have the booking form the day before your early drop off, or the Friday before the Monday.
3. Payments
PAS accepts the following forms of payment: cash, cheque or postal order. PAS do not accept post-dated cheques and therefore does not accept any liability for bank charges you may incur if a post-dated cheque is processed. Due to the high volume of payments received, the responsibility rests firmly with the customer to ensure all payments are valid at the time of booking.
3 (a). Discounts
PAS offer a 10% discount for sibling bookings and can be used for any camp/club and for any period of time. Further discounts for multiple weeks or siblings can be applied, but must be approved by a director or company administrator at PAS before the start of any club/camp. Bookings made online can also apply the 10% sibling discount, however a promo code must be obtained by contacting the PAS office. Please note that only one discount applies and therefore discounts cannot be used in conjunction with another discount.
3 (c). Multiple Payments
‘On the day’ payments for camps cannot be combined with earlier pre-booked payments. For example, if your child is pre-booked for 2 days (paying £28.00) and decides to attend a further day, the normal daily rate will apply.
3 (b). Coupon/Promo code
PAS offer further discounts through our coupon or promo code scheme, and can be used only for online bookings, via our ‘Online Booking System’. Please note that only one discount applies and therefore discounts cannot be used in conjunction with another discount.
4. Cancellation and Refund Policy
Should you cancel your place on a club/camp with a week’s notice, a full refund will be issued subject to payment being processed. If payment had not been processed, your payment will be returned to you or destroyed.
Should cancellation occur within a week’s notice of the club/camp starting, a credit note will usually be issued. In the event of a credit note not being sufficient, a full refund may be given however a cancellation fee of 25% will apply.

5. Returned Payments
Payments returned by the bank are subject to bank charges. Any bank charges incurred by PAS as a result of returned payments must be paid in full by the customer, in addition to the original booking fee.
6. Late Collection Fee
PAS reserves the right to charge additional fees for late collection of children at a rate of £3.00 per child for every period of 15 minutes that elapses after the appointed collection time.
7. Arrival
Parents/guardians should ensure children arrive no earlier than 15 minutes before the designated start time for the club/camp. We may be unable to take responsibility for children who arrive earlier.
8. Departure
Parents/guardians should arrive at least five minutes before the designated end time of the club/camp. No child will be able to leave the premises without a parent/guardian unless written notification is received before the start of club/camp detailing suitable alternative arrangements.
9. Behavioural Standards and Exclusion
PAS expects all children to behave at all times in a manner that is acceptable to both fellow children and PAS staff.
PAS reserves the right to exclude a child from the club/camp where he/she fails to maintain the required standard. Such failure shall include, but not be limited to, racial, sexual, verbal or physical bullying of a fellow child or member of staff. Transportation of the child home will be the responsibility of the parent/guardian, and no refund or credit will be issued.
10. Medical Information
10 (a). Epi Pen Guidelines
PAS staff are not qualified to administer Epi Pens. However, they are permitted to do so if we receive written permission from the parent/guardian. The parent/guardian must state in the letter that permission is given to administer the Epi Pen but that they fully understand that staff may not be qualified to do so and that they (the parent/guardian) accept full responsibility.
10 (b). Medical Conditions and Allergies
The parent/guardian must state on the booking form any medical condition or allergies their child has, or any relevant background information that PAS staff need to be aware of while their child is attending the club/camp.
10 (c). Medication
The parent/guardian must give written consent for the administration by staff of prescribed medication.
11. Child Protection
PAS staff have a duty to act if they suspect a child in their care may be suffering from abuse or if a child makes a disclosure about abuse. In such an event, the member of staff will follow the Child Protection Policy as detailed in our policies and procedures.
12. Lost Property
Please ensure children do not bring valuable toys or belongings when attending any clubs/camps. PAS cannot accept liability for lost, stolen or damaged items. Please ensure clothing and other belongings are clearly labelled with the child’s name to help us return unclaimed items. Lost property will be kept at the PAS office for a period of three weeks after the end of the club/camp. If items are still unclaimed after this period, PAS will distribute them to local charities.
13. Photography
From time to time we take photographs at our clubs/camps that may be used for marketing and promotional purposes. If you would rather your child was not included in any photographs, we must be informed either at the time of booking or in writing before the start of the club/camp.
14. Liability
PAS does not accept liability for sickness, personal injury or death of any participants unless directly caused by the proven negligence of the company or its servants. Organisers providing the facility and their servants are under no liability whatsoever in respect of personal injuries, loss or damage to property whilst attending any clubs/camps.
15. Insurance
Participants are covered by our Public Liability Insurance.
16. Policies and Procedures
PAS clubs/camps policies and procedures will be available upon request.
17. Complaints
PAS is fully committed to delivering the highest standards of teaching, coaching and childcare to the community. We aim to ensure every child has a fantastic experience of any club/camp and they cannot wait to come back. If you or your child are not entirely satisfied with the service we provide, we would like to hear about it. If we are aware of any problem while your child is still attending a club/camp, we will aim to resolve this at an early stage. You can be assured that any complaint will be taken very seriously.
In the first instance, the complaint should be made to the club/camp director or head coach, who will look into the matter. If you feel the response to the complaint is not acceptable or you would like to take the grievance further, the complaint should be made in writing and addressed to: PAS Unit 5, Rossington Place, Graphite Way, Hadfield, Glossop, Derbyshire.
